written by oleksandr melnyk | last published at november 29, 2024 \# # introduction it describes how to set colours for the records in the list view \# setting the colours 1\ go to settings > configuration > features > custom colour filter 2\ double click a record in the list view please note that you cannot add new records to the selection list, select from the existing options 3\ you can see the existing colour categories as an admin , you can edit the categories, delete them or add new ones \# colour configuration restrictions 1\ you can only assign one colour to each line if you try to apply another colour filter to a line that already has a colour assigned, the previous colour is overwritten this means that you cannot assign multiple colours to the same line 2\ the functionality is configured on a company level it means that all users see the same categories and colour filters any changes made by one user apply to all users this means that users cannot customise the categories or colours for their personal use, and cannot create their own categories or filters \# setting a new colour category (admin) 1\ click the create new button 2\ in the visible option field, fill in a name of the category 3\ in the back end option field, select the colour and its colour code is added to the field 4\ click on the save button \# editing the colour category \# option 1 click the record edit the fields click the save icon or the save button \# option 2 click the pencil icon in the pop up options form edit the data click the save and close button \# deleting the colour category to delete an existing colour, select the colour record and click the delete button or the delete icon \# applying the colours 1\ go to the desired list view in this example, let's use the customer invoices list view 2\ select one or multiple records to select multiple lines, hold the ctrl (windows) or command (macos) key while clicking the desired records 3\ right click on the selected record(s) 4\ in the context menu, click categorize 5\ select the colour/name of the category as a result, the selected record(s) are assigned to the chosen colour/type category to see the colour legend, hover your cursor over the colour block to display a tooltip message that shows the description text \# group by filtering to filter using the group by functionality and custom group feature 1\ select the group by option 2\ select the category 3\ select custom colour as a result, the records are grouped by category click the arrow sign next to each category to see the sublist and grouping by colours \# advanced filter functionality to filter by a particular colour, use advanced filter functionality 1\ click the advanced filter icon 2\ select custom colour 3\ select the colour in the drop down list as a result, the records are grouped by one colour
