written by maryna yevsiukova | last published at december 11, 2024 introduction it describes how to set up filter or group by functions if you often work on a certain group of data within a module, you can get quick access to them by using filter – for filtering your search criteria within a specific sub menu of a specific module you use it if you often require access to a certain group of data within a module group by – for arranging your search criteria within a specific sub menu of a specific module working with filter to add a filter, go to the needed sub menu for example, go to sales > companies standard filter standard filter options are displayed as filter blocks the default filters are highlighted in orange; non active filters are in white click the white filter block to add the category for filtering click the orange filter block to remove (deactivate) the category from filtering filter blocks are grouped by the conditions for filtering blocks formed in one line means that these parameters belong to one category which is why each filtered record has only one of those parameters (for example, confirmed or waiting ) blocks formed in a separate line(s) means that these parameters belong to another category and you can use and condition (for example, conmirmed and to invoice, waiting and to invoice ) advanced filter to set specific conditions for filtering, use the advanced filter function advanced filter options the advanced filter section consists of a drop down list of conditions matching rules a drop down list of field names a drop down list of filter operators a field for search values a sub field line for fields that contain the m2o button 1\ when in the field name, you select a field that contains the m2o button, click add sub field 2\ in the added search field, select the name of the field related to the main field and where the filter should apply 3\ in the search values field, fill in the data set a filter to set a filter 1\ select necessary conditions in all rows 2\ click filters and select save filter 3\ in the pop up window, fill in the name of the filter and click ok as a result, the filter is saved in the filters menu example of setting a filter your company has a long list of customers and suppliers they work with you mostly work with existing suppliers from london to have quick access to london suppliers only (excluding clients and other cities you do not need) 1\ click prospects and customers filter blocks to deactivate them 2\ click the advanced filter icon 3\ in the condition matching rule field, select the rule 3\ in the field selector field, select city 4\ in the filter operators field, select contains 5\ in the search value field, fill in london 5\ click filters and select save filter 6\ fill in the name of the filter 7\ click ok as a result, the london suppliers filter is saved in the filters section please note you can also create dynamic callouts, for example when dates are included in your filtering and your filtering results depend on date changes for more information on how to create them, please see the \[link to the article] deleting a filter to delete a filter, go to the module where the filter is applied click filter in the drop down menu, select manage filters 3\ in the opened manage filters tab, select the filter record and click the delete icon 4\ in the pop up window, click ok group by function to add option(s) for grouping, click group by and select the category as a result, you see the records grouped by the selected option(s) levels of grouping if you select two or more categories, the first category type that you tick sets the nature of the grouping and it is the first grouped category the rest of the categories that you tick are added inside of the first grouping to reorder the sequence of group by categories, drag and drop them grouping by date fields the order date category by default groups the data by month/year to group it by other parameters, click the green arrow to group by one parameter (a year/month//week/day), click the category to group by many parameters, select the categories deleting a group by option to delete a group by option, select the name of the option or click the x sign all filters to view all filters, go to settings > configuration > features > all filters in the filters tab, you can view, check and duplicate all filters configured in the system
