written by maryna yevsiukova | last published at may 05, 2025 introduction for easier navigation and quicker access to the most frequently used tabs / submenus/ tasks, you can use predefined callouts and shortcuts callout – a shorter route to a particular field on a tab or a submenu that is used most often with saved filters (both default filters and personally applied filters) and with timely updates of its number/status shortcut – a shorter route to a particular screen (view) on a tab or submenu that is used most often without saved filters (only default filters can be used) working with callouts creating a callout to create a callout, follow these steps 1\ go to module > sub menu 2\ select the preferred view ( cannot be used in form view) 3\ filter and/or group the data (for more details on how to use filter and group by functions, see \[the link is to be added]) 4\ add to callout panel example of creating a callout if you are a salesperson and want to keep track of only your sales orders without the history of sales orders of your colleagues/other salespeople 1\ go to sales > sales orders 2\ click the my sales only filter you can keep the default filter blocks active to deactivate them, click them and they turn white 3\ use group by function 4\ to save the callout, click filters and select add to callouts from the drop down menu 5\ in the pop up title of new callout window, fill in a name 6\ click the ok button as a result, you see my sales orders as a numerical callout in the callout panel when the number of records changes, the callout number appears in red after a short time (do not refresh the page), and the number is changed if there are no records for the callout, it appears as 0 (zero) in grey number of callouts you can only apply up to 10 callouts callouts are refreshed automatically and it can take time to refresh depending on the complexity of the callout(s), which in turn can slow down your system work dynamic callouts if the data for callout is associated with a dynamic date, you can create dynamic callouts this allows for the display of up to date information that is relevant to the current day the data in the dynamic callout are updated automatically every day for more information, see dynamic callouts deleting a callout 1\ to delete a callout, go to any module 2\ click filters and select manage callouts from the drop down menu or click the two gear icon on the top right 3\ in the manage callouts tab, select a callout record and click the delete icon 4\ in the pop up window, click ok activating a callout the system might disable your callout and you can see disabled next to your callout 1\ to activate a callout, click the two gear icon on the top right 2\ double click the callout record or click the pencil button 3\ in the my callouts form view, untick in the disabled checkbox 4\ click the save button 5\ refresh the page please note every time your callout changes, for example, the number of records goes up/down, you make it disable or active, the new change appears in red, wiggles and the number/status changes accordingly and turns in orange in a while working with shortcuts the shortcut is a shorter route to a particular field on a tab (or sub menu) shortcut restrictions when selecting a shortcut, remember that your applied filters, or the information that you have grouped will not be saved only default filters can be saved in the shortcut a star icon in orange shortcut is active/applied; a star icon in grey is inactive/not applied to add a shortcut, click the star icon as a result, the star icon is in orange and the shortcut is added to the callout panel to delete a shortcut, click the star icon access all callouts within a company to access all callouts within a company, go to settings > configuration > features > all callouts in the list view, you can search a callout by a name in the alert name field, or use any filter to find a needed callout, for example by user's name share your callouts with other users to share your callout with user(s), right click the record and select copy callout to a new user in the pop up copy callouts to user window, select the user and click the submit button share with new employees it is recommended to share your callouts with new employees as it might help them during onboarding
